Use cases

Automate supplier invoice processing

Capture supplier invoices, match them to purchase orders and prepare an accounting export for your team to approve.

Your tools. Your rules. Your team in control.

From invoice to review

Open each step to see how a discrepancy reaches the team.

Invoice received

The purchasing inbox receives PDF invoice F-0182. It lists 12 units and references purchase order BC-1048.

Discrepancy found

The workflow matches the two documents. The order lists 10 units, so the invoice and the difference go into the review queue.

Accounting approval

The team checks both documents, decides what to do and approves the data for export. Payment follows a separate process.

How does supplier invoice processing automation work?

Eltyo connects your invoice intake, supplier records and accounting software. The workflow captures invoices, extracts the fields your team needs and matches documents to available purchase orders. The agreed rules determine which records go to review and which data can be prepared for accounts payable.

Each record retains the original document, extracted fields and flagged discrepancies. Your team reviews exceptions and approves the export.

Which fields and checks should you start with?

Start with the references you need to identify and match an invoice. Common fields include the supplier, invoice number, date, currency, totals and purchase order reference. Checks can flag missing fields, inconsistent amounts or a possible duplicate with the same supplier and invoice number.

A quantity mismatch, unreadable document or change in bank details triggers review by the person authorised to handle it. The review record shows the discrepancy and the document needed to verify it.

Which systems can the workflow connect?

  • Purchasing inbox or shared folder. Capture PDFs and related documents from an agreed set of sources.
  • Purchasing system or ERP. Look up suppliers, orders and goods receipts where those records are available.
  • Accounting software. Prepare a structured export or transfer an approved record through authorised access.

The choice between APIs and imports depends on your tools. We test a small batch with the formats and exceptions your team sees most often.

How do you measure a pilot?

Record how long entry and review take per invoice before and during the trial. Track the share of corrected fields, the invoices sent to review and the time taken to resolve them. The results give you a basis for extending the workflow to more suppliers.

Good questions.
Clear answers.

What happens when an invoice has no purchase order?

The workflow can route it to the budget owner with the source file and extracted fields. The route depends on your internal rules.

Can the workflow handle PDFs and scans?

It can extract text from PDFs or read scanned documents with OCR. A trial on your formats shows which fields are reliable and which need review.

Does this workflow trigger a payment?

The workflow prepares and transfers approved data. Payments follow your existing process and its own approvals.
